This policy explains how swiftfleet handles personal information collected through this website and through enquiries made to us. It applies to visitors to the site and to people who contact us about our consulting services. Where we act for a client under a signed engagement, the confidentiality terms of that engagement apply in addition to this policy.

Information we collect

We keep the amount of personal information we hold to what is needed to respond to you and to run an engagement properly.

  • Information you give us directly through the consultation request form: your name, email address, an optional phone number, the topic you selected and the content of your message.
  • Information you give us by email, telephone or in meetings when discussing a possible or active engagement.
  • Project material you choose to share with us during an engagement, which can include commercial, financial and technical documents.
  • Aggregate, cookieless statistics about site usage provided by our hosting platform, such as page views and referring sources. These do not identify individual visitors.

How we use your information

We use the information described above to reply to your enquiry, to prepare and discuss a scope and fee proposal, to carry out the work you engage us for, to keep records required for accounting and professional purposes, and to check for conflicts of interest before accepting new work. We do not use your details for unrelated marketing, and we do not sell or rent personal information to anyone.

Why we are allowed to process it

Where you contact us, we process your information because you have asked us to respond and because we have a legitimate interest in dealing with enquiries about our services. Where you become a client, we process it to perform our contract with you. Some records are kept because we are required to keep them by law, for example for tax purposes.

Who we share it with

We share personal information only where it is necessary and only with parties who are bound to keep it confidential.

  • Service providers who host this website, store our files or handle our email, acting on our instructions.
  • Professional advisers such as accountants, insurers and lawyers where relevant to a matter.
  • Third parties working on your project, such as surveyors, lenders or contractors, but only with your instruction or agreement.
  • Public authorities where we are legally required to disclose information.

How long we keep it

Enquiries that do not lead to an engagement are kept for up to 24 months so that we can pick the conversation up if the project moves, and are then deleted. Records relating to an engagement are kept for the period required by our professional, insurance and tax obligations, after which they are deleted or returned. You can ask us to delete an enquiry sooner and we will do so unless we are required to keep it.

Security

Access to enquiry records and project material is limited to the people working on the relevant matter. We use reputable hosting and email providers, transmit data over encrypted connections and review access when people join or leave a project. No system can be guaranteed completely secure, so please do not send us highly sensitive material by unencrypted email without agreeing an approach with us first.

Your rights

Depending on where you live, you may have the right to ask for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete it, to object to or restrict how we use it, and to receive it in a portable format. To exercise any of these, email us and we will respond within one month. If you are not satisfied with our response, you may complain to the data protection authority in your country.

Cookies and analytics

This website does not set advertising or tracking cookies and does not build profiles of visitors. Our hosting platform collects cookieless, aggregate usage statistics that tell us how many people visited a page and where they came from, without identifying anyone. If we ever add analytics that use cookies, we will update this policy and ask for consent where the law requires it.

We may update this policy as our services or obligations change. The date at the top of this page shows when it was last revised. Where a change materially affects how we handle information you have already given us, we will tell you directly.
